The Sewing Studio Johannesburg is responsible for deciding how and why the personal information described in this policy is processed.

Where we collect information
We may collect personal information when you use our Shopify website, complete a checkout, contact us by email, WhatsApp or phone, visit the studio, join a mailing list, interact with our advertising, or arrange a booking directly with us.
Some customers book outside Shopify. For these bookings we may create a manual invoice and keep the booking and payment record in our business records.

Information we collect
Depending on your interaction with us, we may collect your name, email address, telephone number, delivery or billing address, class or course details, student details, order and product information, invoice details, payment status, transaction references, communications with us, marketing preferences and website or device information.
If you send us proof of payment for a manual payment, we may retain the information reasonably necessary to match and record that payment. We do not ask you to send us full payment-card details.

How we use personal information
We use personal information to process and manage bookings and orders, issue invoices, confirm and record payments, communicate about classes and deliveries, provide customer support, manage rescheduling, operate and secure our website, maintain accounting and business records, improve our services, prevent fraud or misuse, comply with legal obligations and, where permitted, send marketing communications.

Online payments, PayFast & manual payments
Our online store is hosted on Shopify and online payments may be processed using PayFast. Payment providers may process the payment and transaction information needed to complete your purchase. We do not need to receive or store your complete card details when those details are handled securely by the payment provider.
We also accept payments arranged directly with us against a manual invoice. For these payments we may keep invoice details, the amount due or paid, payment status, payment reference and any proof of payment you provide so that we can administer the booking and maintain appropriate records.

Shopify & service providers
We may share personal information with service providers that help us operate our business, including Shopify, PayFast, hosting and technology providers, courier or delivery providers, communication services, accounting or professional advisers, and other suppliers that perform services for us.
We share only the information reasonably necessary for those services or where disclosure is otherwise permitted or required by law.

Cookies, analytics & advertising
Our website may use cookies, pixels and similar technologies that are necessary for the store to function and that may also help us understand website usage, remember preferences, measure performance and support advertising.
We use or plan to use services including Google Analytics, Google Ads and Meta/Facebook advertising tools such as the Meta Pixel. Depending on your settings and consent choices, these services may receive information such as browser or device information, IP address, pages viewed, interactions with the site and advertising or conversion events.
Where consent is required for non-essential cookies or tracking, we will use the consent tools available on our store to obtain or respect your choices.

Email & WhatsApp marketing
We may send information about new classes, course dates, events, promotions and other Sewing Studio news by email, WhatsApp or another electronic channel where permitted by law.
Where consent is required, we will ask for it. You can withdraw consent or opt out of marketing at any time by using an unsubscribe option where available or by contacting us at thesewingstudiojhb@gmail.com. Opting out of marketing will not stop necessary service messages about an existing booking or order.

Legal grounds & fair processing
We process personal information only where we have a lawful basis to do so, for example where processing is necessary to provide a booking or fulfil an order, to comply with a legal obligation, for a legitimate business purpose that is permitted by law, or because you have given consent where consent is required.
We aim to collect information for specific, legitimate purposes and to use it in a manner that is compatible with those purposes.

Children’s personal information
Some of our programmes may be intended for students under 18. In those cases, we expect the booking to be made or authorised by a parent or legal guardian. We only seek information that is reasonably necessary to manage the booking, communicate with the parent or guardian and support the student’s participation.
Where South African law requires consent or another lawful basis for processing a child’s personal information, we will handle that information accordingly.

International processing
Some of our service providers may process or store personal information outside South Africa. Where personal information is transferred across borders, we take reasonable steps to ensure that the transfer and resulting protection are handled in accordance with applicable data-protection law.

How long we keep information
We keep personal information only for as long as reasonably necessary for the purpose for which it was collected, including to provide services, maintain booking, accounting and tax records, deal with disputes and meet legal or regulatory requirements. When information is no longer required, we will delete, destroy or de-identify it where appropriate.

We use reasonable organisational and technical safeguards designed to protect personal information against loss, misuse, unauthorised access, alteration or disclosure. No website, email service or electronic storage system can guarantee absolute security.
